Document Filing Checklist

Requirements

Please review the following checklist to ensure all filing requirements are met when submitting documents. For more information, please contact the Register of Deeds Office at (785) 403-0000 Ext. 5.

General Requirements

  • Original signatures or certified copy
  • Names typed or printed under all signatures
  • Proper notary
    • State
    • County
    • Signature
    • Seal
    • Expiration date
    • Who appeared
  • Complete legal description
  • Check or money order payable to Register of Deeds
  • Document is of sufficient legibility and font style to reproduce a clear reproduction
  • Correct filing fees submitted
  • Document is a Jefferson County, Kansas filing
  • Instrument date

Mortgage Release or Assignment

  • Book and page or document number of referenced document included

Deeds

  • Marital status for grantor
  • Sales validation questionnaire included or exemption noted on deed
  • Tax address if no sales validation questionnaire included

Mortgage

  • Mortgage tax and Mortgage Registration Fee Affidavits are no longer required when recording mortgages in our office.  The statute was repealed 1/1/2019 
  • If modification of a mortgage, reference book and page or document number of mortgage being modified
  • If applicable, include completed Mortgage Cap Affidavit (charged as an additional page)
